Overview 20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia. An owner’s representative and project-management consultant is seeking a part-time VA to provide project-specific administrative support across active design and construction projects. This is not a traditional general administrative position. The VA will attend project meetings, prepare minutes and agendas, track follow-ups and action items, maintain project information, assist with financial data entry, and support proposals and other project documentation. The client’s work spans corporate interiors, ground-up development, and other private-sector design and construction projects. The ideal candidate should therefore have enough construction or design knowledge to understand project discussions while remaining comfortable performing detailed administrative work. Civil engineering, architecture, construction management, or related education is strongly preferred. The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor. Scope of Services Contractors will be required to provide services that align with the following client tasks: Project & Meeting Support Attend assigned client and project meetings Prepare accurate meeting minutes and agendas Capture decisions, responsibilities, deadlines, and action items Follow up with project participants on outstanding items Maintain project trackers and supporting documentation Help ensure action items continue moving between meetings Provide organized updates on outstanding project matters Construction Project Administration Support administrative workflows across active design and construction projects Enter and maintain project financial information in spreadsheets Organize project files, reports, and supporting documentation Assist with project-specific data tracking and reporting Coordinate routine follow-up with consultants, contractors, vendors, and other stakeholders Maintain confidentiality and follow applicable project NDA requirements Proposal & Business Support Assist with preparing and formatting client proposals Organize information and supporting materials for new project pursuits Assist with marketing and presentation materials as needed Support additional proposal, documentation, and project-administration tasks as the role develops Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing. Skills The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements: Construction, architecture, engineering, design, or project-management exposure strongly preferred Project administration or coordination experience preferred Meeting-minutes and professional documentation experience strongly preferred Strong written and spoken English required Spreadsheet and data-entry experience required Strong follow-up and organizational skills required Proposal preparation or marketing-material experience is a plus Civil engineering, architecture, construction management, or related education is strongly preferred Willingness to sign client based NDAs required Advanced technical construction expertise is not required; client training will be provided IDEAL CANDIDATE PROFILE Highly organized and detail-oriented Excellent spoken and written English Comfortable participating in professional client meetings Familiar with construction, design, architecture, or project-management terminology Strong meeting-minutes and documentation skills Proactive and dependable with follow-up Confident communicator who will ask questions, flag issues, and speak up when something is wrong Comfortable learning and taking on greater responsibility as the client’s business grows APPLICATION SOFTWARE KNOWLEDGEABLE / REQUIRED Microsoft Excel / Google Sheets Microsoft Office / Google Workspace Video Conferencing Platforms Document & Presentation Tools Project Management Platforms – Experience a Plus Work Schedule Contracted Hours per Week: 10 Hours (Hours expected to increase as projects and workload grow) Scheduled Working Days: Monday through Friday (unless otherwise mutually agreed in writing) Daily Working Time: Flexible, based on Client Meetings / Project Needs- EST Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.
